The Service Provider commits to:
The Customer commits to:
The Customer generally approves the use of the following sub-processors. When a new sub-processor is added, the Customer is notified at least 30 days in advance and reserves a reasonable right to object.
| Sub-processor | Service | Location |
|---|---|---|
| Hetzner Online GmbH | Application & database hosting (all tenant data) | Germany (EU) |
| PayTR Payment ve Elektronik Para Kuruluşu A.Ş. | Payment processing | Türkiye |
| Amazon Web Services (Amazon S3, Amazon Bedrock) | (1) Since 10.10.2026: second off-site copy of the nightly system backup, encrypted with AES-256 before leaving our server (AWS does not hold the key). (2) No earlier than 10.11.2026: AI response generation, support ticket classification and monitoring report summary with the Anthropic Claude model (chat messages, related panel records retrieved for the answer, text extracted from PDF documents sent to the WhatsApp assistant, ticket subject and text, monitoring statistics) | EU (Frankfurt) — AWS data processing addendum (incl. EU SCC); AI requests processed only in EU Regions, not stored by default, not used for model training, not shared with the model developer (Anthropic) |
| Google LLC (Gemini API) | AI response generation, optional AI document field extraction, converting WhatsApp assistant voice messages to text, reading images sent to it and answering questions about PDF documents sent to it (chat messages, conversation summary, related panel records retrieved for the answer, uploaded document image, voice recording, screenshot/photo and the text extracted on our server from PDF documents — audio is not stored in our systems; images are stored only if the user chooses "Attach to ticket" or to add them as a record (insurance policy, hardware, payment); the PDF file itself is sent only when it has no readable text — a scanned document — to read its content) | US — paid tier under Google's data processing addendum (incl. EU SCC); content not used to improve Google products |
| Groq, Inc. | AI response generation (chat messages, conversation summary, related panel records retrieved for the answer, text read from PDF documents sent to the WhatsApp assistant) | US — contractually commits not to store data |
| NVIDIA Corporation (API catalog) | Semantic search: converts the question text typed into AI chat into a numeric vector | US — subject to the provider's API terms |
| Microsoft Corp. / Google LLC | Email delivery (via Customer's own tenant connected with OAuth) | EU / US — under SCC |
| Sentry (Functional Software, Inc.) | Error monitoring (stack trace, request ID, user ID — enabled only when configured) | US — under SCC |
| Cloudflare, Inc. (Turnstile) | Bot verification on the in-panel contact form (IP address, browser signals) | US — under SCC |
| Meta Platforms Ireland Ltd (WhatsApp Business Platform) | WhatsApp notifications — only for users enabled by the administrator who connected their number: phone number and notification content (type, record name, branch name, date, amount and record details such as provider or insurer; employee names are not sent; for personal reminders the user set up, the reminder title and time — the note text is not sent). WhatsApp assistant — only for users enabled by the administrator: written, voice, image or PDF document questions and documents and answers generated from panel records the user is authorised for (may include record details such as employee names; passwords, licence keys and identity numbers are never sent) | EU / US — under SCC |
| Natro Bilişim A.Ş. | Backup copy of the public marketing site (no personal or tenant data) | Türkiye |
Browser notifications: when a user turns on browser notifications on their own device, panel notifications are delivered through the push service of the browser maker (Google, Microsoft, Apple or Mozilla). The content is end-to-end encrypted on our server before it is sent (RFC 8291); the push service carries only encrypted data it cannot read and does not process its content. Turning them on is the user's choice.
CRM connection: when the Customer connects its own CRM help desk (e.g. Zoho Desk), the platform reads only summary figures and the agent/department list, read-only, with the authorisation the Customer grants on the CRM's own screen. The CRM provider is the Customer's own service provider under the Customer's agreement and is not a sub-processor of the Service Provider. When a Customer administrator requests AI recommendations, the month's summary figures are sent to the AI sub-processors listed in the Privacy Policy with each agent replaced by a code; agent name, email and agent ID are not sent and the code is matched to the agent only on the platform. The data is deleted in full when the Customer disconnects the CRM.
The following safeguards apply for transfers under KVKK Art. 9 and GDPR Chapter V:
